Qado Account Manager Policy

In addition to the regular vendor-managed services on Qadoshop, vendors may opt into the Qado Account Manager Service, a premium service designed to help vendors professionally manage their accounts, listings, and operations on the platform.

1. Scope of Service

  • Under the Qado Account Manager Service, a dedicated account manager may assist vendors with:

    • Product listing creation and optimization.

    • Order processing and fulfillment support.

    • Customer communication and dispute resolution support.

    • Performance monitoring, reporting, and recommendations.

  • The account manager operates under the vendor’s account but does not have authority to make independent financial withdrawals or transfer funds.

2. Vendor Responsibility

  • All financial rights, including withdrawal of funds, remain solely under the vendor’s control.

  • Vendors are responsible for:

    • Initiating any withdrawal requests.

    • Reviewing and approving all financial transactions.

    • Providing accurate account and banking information for payouts.

3. Withdrawal Policy under Qado Account Manager Service

  • Withdrawals can only be initiated by the vendor using their registered Qadoshop account.

  • The account manager cannot, under any circumstances, submit or authorize a withdrawal request on behalf of the vendor.

  • To protect vendor funds, multi-level verification will be required before any withdrawal is processed. This may include:

    • Password and two-factor authentication (2FA).

    • Email or SMS confirmation.

    • Security questions or identity verification if unusual activity is detected.

4. Security & Fraud Prevention

  • Qadoshop will never authorize withdrawals without the vendor’s direct consent and verified request.

  • Any suspicious withdrawal attempts or unauthorized activity will result in immediate suspension of payout processing pending investigation.

  • Vendors must keep their login credentials confidential and notify Qadoshop immediately if they suspect unauthorized access to their account.

5. Liability

  • Qadoshop and its Account Managers are not responsible for financial losses arising from vendors sharing their account credentials or failing to secure their devices.

  • By opting into the service, vendors acknowledge that account management support does not transfer financial control away from them.

Payment Gateway Policy

Qadoshop provides secure, reliable, and convenient payment options to protect both buyers and vendors. By using Qadoshop’s platform, you agree to the following payment and processing policies:

1. Approved Payment Gateways

  • Qadoshop partners with CinetPay and PayPal to facilitate international and local transactions.

  • Payments processed through these gateways are subject to the respective terms and conditions of each provider.

  • Qadoshop does not store full payment card details; all transactions are processed via encrypted and PCI-compliant systems.

2. Qadowallet

  • Qadowallet is Qadoshop’s in-platform digital wallet designed for seamless payments and transfers.

  • Users may:

    • Pay for products and services directly using Qadowallet.

    • Transfer funds between accounts within the Qadoshop ecosystem (e.g., buyer to vendor, vendor to vendor).

  • Restrictions:

    • Withdrawals from Qadowallet to external bank accounts or payment gateways are not permitted.

    • Qadowallet is designed exclusively for in-platform transactions.

  • Qadoshop reserves the right to monitor wallet transactions for compliance, fraud prevention, and security.

3. Payment Processing & Confirmation

  • Orders are considered valid only after payment is successfully processed and confirmed.

  • Payment confirmation may take up to 24 hours, depending on the payment gateway used.

  • Vendors are notified once the payment has cleared, and are responsible for fulfilling the order within their specified handling/shipping timeline.

4. Refunds & Disputes

  • Refunds (if applicable) will be processed through the original payment method used for the transaction.

  • For payments made via Qadowallet, refunds will be credited back into the buyer’s Qadowallet balance.

  • Refund timelines may vary based on the gateway provider and Qadoshop’s internal policies.

  • Disputes related to payments must be raised within 7 calendar days of the transaction.

5. Security & Fraud Prevention

  • Qadoshop employs strict fraud detection and payment security measures, including transaction monitoring, account verification, and two-factor authentication.

  • Transactions suspected of fraud, money laundering, or policy violations may be withheld, canceled, or reversed at Qadoshop’s discretion.

  • Users engaging in fraudulent activities risk account suspension or permanent termination.

  • Qadoshop will never call, email, or message buyers or sellers to request that payments be made outside of the platform or outside of official Qadoshop communication channels. Any such request should be treated as fraudulent and reported immediately to Qadoshop.

6. Fees & Charges

  • Payment processing fees may apply depending on the payment method selected (e.g., PayPal, CinetPay).

  • Qadoshop will display all applicable fees before finalizing the transaction.

  • Vendors are responsible for understanding their payout fees and deductions from payment gateways.

7. Policy Updates

Qadoshop reserves the right to update or modify this Payment Gateway & Processing Policy at any time to reflect changes in partnerships, regulations, or operational requirements. Vendors and buyers will be notified of material changes.

Vendor Product Media Policy

To maintain a professional, trustworthy, and safe marketplace, all vendors must comply with the following standards for product listings, including images, videos, and descriptions uploaded to Qadoshop.

1. General Requirements

  • All product listings must accurately represent the actual item or service being sold.

  • Media and descriptions must be clear, professional, and free from misleading, false, or exaggerated claims.

  • Vendors are responsible for ensuring they have the legal rights and licenses to use and upload all content.

  • Content must not infringe on intellectual property rights or mislead buyers.

2. Image Guidelines

  • Format: JPEG, PNG, or WebP with a minimum resolution of 1000 x 1000 pixels.

  • Clarity: Images must be in focus, well-lit, and show the product against a neutral or clean background where possible.

  • Accuracy: Colors and features must not be digitally altered in a way that misrepresents the product.

  • Views: Products should include multiple angles (front, back, side, close-up) to give buyers a complete view.

  • Prohibited:

    • Blurry, pixelated, or low-quality images.

    • Images with unrelated backgrounds, stock watermarks, or borders.

    • Misleading or heavily edited images that alter the true condition of the item.

3. Video Guidelines

  • Format: MP4 or MOV, minimum resolution of 720p (HD); recommended 1080p (Full HD) or higher.

  • Duration: Between 15 seconds and 2 minutes, focusing on product features, usage, or demonstration.

  • Clarity: Videos must be stable, properly lit, and have clear audio if narration or sound is included.

  • Accuracy: The product shown must be the same as the one being sold, without misleading effects or digital enhancements.

  • Prohibited:

    • Low-quality, shaky, or unclear videos.

    • Irrelevant content not related to the product.

    • Videos containing offensive, copyrighted, or promotional material not approved by Qadoshop.

4. Product Description Guidelines

  • Accuracy: Descriptions must clearly and truthfully state the product’s name, features, specifications, size, weight, material, color, and other relevant attributes.

  • Clarity: Use simple, buyer-friendly language free from spelling or grammatical errors.

  • Structure: Descriptions should include:

    • Product title (concise and keyword-rich).

    • Key features and specifications.

    • Usage instructions or intended purpose (if applicable).

    • Warranty, safety, or care information (if applicable).

  • Prohibited in descriptions:

    • False or misleading claims.

    • Excessive keyword stuffing.

    • Offensive, discriminatory, or inappropriate language.

    • Contact details (phone numbers, emails, external links) that attempt to bypass Qadoshop.

5. Prohibited Content

The following are strictly prohibited in all product listings (images, videos, and descriptions):

  • Pornographic or sexually explicit materials.

  • Illegal or prohibited drugs, controlled substances, or drug paraphernalia.

  • Products that promote violence, hate speech, or illegal activity.

  • Counterfeit goods or items that infringe on intellectual property rights.

6. Storage & Media Allocation

  • Each vendor’s uploads (images, videos, and related files) consume space from their allocated storage limit based on their membership subscription package.

  • Once the allocated storage is reached, vendors must either upgrade their subscription or remove existing media to free up space.

  • All media files uploaded by vendors will be counted against their allocated storage space.

7. Branding & Promotional Content

  • Seller branding is allowed only where it is subtle and relevant (e.g., branded packaging or product labels).

  • Direct advertisements, competitor comparisons, or promotional banners are not permitted in product listings.

  • All promotional content must be submitted to Qadoshop for prior approval.

8. Enforcement

  • Qadoshop reserves the right to remove or reject any listing that does not comply with these standards.

  • Repeated violations may result in account suspension, product listing removal, or termination of vendor privileges.

  • Vendors are encouraged to update their product media and descriptions regularly to maintain accuracy and buyer trust.

Return, Refund & Shipping

At Qadoshop, we are committed to ensuring a safe, reliable, and transparent shopping experience. This policy explains how shipping, returns, replacements, refunds, and add-on services are handled on our platform.

1. Shipping Policy
  • Qadoshop manages and provides all logistics services for orders placed through the platform.

  • Delivery timelines vary depending on the vendor’s location and the buyer’s destination. Estimated delivery times will be displayed at checkout.

  • Buyers will receive tracking details once an order has been shipped.

  • Qadoshop ensures all shipments are handled with care and delivered to the address provided by the buyer at checkout.

2. Return Policy

  • Buyers may request a return if the item received is:

    • Damaged or defective.

    • Significantly different from the product description.

    • Missing parts or accessories advertised.

  • Return requests must be submitted within 7 days for local – 14 days for international of delivery through the buyer’s dashboard.

  • Returned items must be unused, in their original packaging, and accompanied by all accessories, manuals, and proof of purchase.

  • Qadoshop will coordinate and manage all return logistics.

3. Replacement Policy

  • If a buyer requests a replacement for an eligible product, the vendor will cover the shipping cost for the first replacement.

  • If the buyer then cancels the order after the replacement has been delivered, the cost of returning the replacement item to the vendor will be deducted from the buyer’s refund.

  • This ensures buyers are protected with a first replacement, while vendors are safeguarded from repeated cancellations.

4. Refund Policy

  • Refunds are processed only after the returned or canceled item has been received, inspected, and verified by Qadoshop.

  • Approved refunds will be issued to the buyer’s original payment method within  1–3 days for local and 1-7 days for international.

  • Partial refunds may be offered when the buyer chooses to keep an item with minor defects, subject to Qadoshop’s discretion.

  • Refund amounts may be adjusted to reflect:

    • Non-refundable shipping or service fees.

    • Deductions for return shipping in cases where the buyer cancels after a replacement has been delivered.

5. Add-On+ Service Policy

Qadoshop offers optional Add-On+ services such as production monitoring and product inspection. These services may be purchased together with a new order or added separately to an existing order.

  • When purchased with a new order:

    • If the order is canceled, the Add-On+ service will be automatically canceled as well.

    • Refunds for the Add-On+ will follow the order’s refund eligibility.

  • When added to an existing order:

    • Add-On+ services are only refundable within 24 hours of purchase.

    • After the 24-hour window, the Add-On+ service is non-refundable, even if the main order is later canceled.

This ensures fairness while covering the operational costs of coordinating inspections and monitoring services.

6. Non-Returnable Items

The following products are not eligible for return or refund:

  • Perishable goods (e.g., food, flowers).

  • Customized or personalized products.

  • Digital goods, downloads, or services once delivered.

  • Items marked “Final Sale” at the time of purchase.

7. Disputes & Resolution

  • In the event of a dispute between a buyer and a vendor regarding product quality, returns, or refunds, Qadoshop will act as the final mediator.

  • Qadoshop reserves the right to approve, reject, or partially approve refund requests based on supporting evidence.

Vendor Payout Policy

1. Payout Eligibility

  • Vendor payouts are only eligible after an order has been confirmed as shipped by the vendor.

  • Payouts will not be processed for pending, canceled, or unshipped orders.

2. Refund & Return Period

  • To safeguard buyers and ensure transaction integrity, payouts will be held until the refund/return period established by the vendor has elapsed.

  • Vendors are required to clearly define their refund/return policy (including duration) within their store settings.

  • Once the refund/return window has expired without any active dispute or refund request, the order will be marked as eligible for payout.

3. Withdrawal Requests

  • Eligible balances will be available for withdrawal through the vendor’s dashboard.

  • Withdrawals may be subject to minimum payout thresholds and applicable transaction fees as determined by Qadoshop.

4. Disputes & Holds

  • If a buyer dispute, chargeback, or refund request is raised within the refund/return period, the associated payout will be placed on hold until the matter is resolved.

  • Qadoshop reserves the right to extend the payout hold period if necessary to ensure fair resolution.

5. Processing Timeline

  • Once eligible, withdrawals will be processed within 1-3 days for local or 1-7 for international  depending on the vendor’s chosen payout method.

  • Vendors will receive a confirmation once the payout has been initiated.

6. Policy Amendments
Qadoshop reserves the right to amend this policy, including payout schedules and procedures, at its discretion. Vendors will be notified of any material changes via platform notice or email. Continued use of Qadoshop vendor services constitutes acceptance of the updated policy.

Vendor Membership Policy

1. Membership Registration
Vendors are required to register for a membership subscription in order to access and use Qadoshop’s selling tools, services, and marketplace features. By completing registration and submitting payment, vendors agree to abide by this policy and Qadoshop’s Terms of Use.

2. Subscription Fees

  • Membership subscription fees are payable in full at the time of registration or renewal.

  • All fees must be paid using the accepted payment methods provided on Qadoshop.

  • Vendors are responsible for ensuring that payment information is accurate and up to date.

3. Non-Refundable Fees

  • All registration and membership subscription fees are strictly non-refundable, regardless of:

    • Early termination or cancellation by the vendor.

    • Suspension or termination of the vendor’s account due to a violation of Qadoshop’s policies.

    • Lack of use of membership benefits.

  • By registering, vendors acknowledge and accept that no refunds or credits will be issued under any circumstances.

4. Renewal and Cancellation

  • Membership subscriptions will not auto-renew unless expressly stated. Vendors must manually renew their subscription to continue using premium services.

  • Vendors may cancel their membership at any time, but cancellation does not entitle them to a refund of any portion of fees already paid.

5. Amendments
Qadoshop reserves the right to amend this policy, including fee structures, at its discretion. Vendors will be notified of material changes through the platform or by email. Continued use of vendor services after notification constitutes acceptance of the updated policy.
